Our Commitment
Expedition Manifesto
Foundations of Trust, Safety, and Technical Excellence
Welcome to Pancho Patagon. More than a fleet, this is a vision of travel rooted in respect for the territory and technical excellence. We want to share with you the pillars that define our philosophy: the principles of trust and the essential standards that ensure the safety and integrity of your journey.
1. Requirements and Reservations
- Driver Profile: Minimum age of 30 years old with at least 10 years of driver’s license seniority.
-
Minimum Rental Period:
- 20 days minimum: Central and Southern Zone (Santiago, Puerto Montt, La Serena, etc.).
- 30 days minimum: Far South and Deep North (Punta Arenas, San Pedro de Atacama, etc.).
- Payment Structure: 50% to confirm the reservation; the remaining 50% is due 60 days prior to the start of the trip.
- Security Deposit: A refundable security deposit will be required to cover the deductible of the contracted protections and any eventual damages not covered. This amount will be customized based on your itinerary and chosen protection scheme, and must be fully funded one week before vehicle pick-up.
- Payment Methods: We operate exclusively via bank transfer (accounts available in Chile, France, and Canada).
2. Logistics and Territory
- Base: The standard start and end point of all rentals is Santiago de Chile.
- One-Way Rentals: Pick-up and drop-off can be coordinated in other cities for an additional logistical transfer fee.
- Territory: Our units are authorized to travel exclusively within Chile and Argentina.
- Border Crossings: Pancho Patagon manages all necessary international documentation, including the Single Cross-Border Form (FU) and the mandatory Civil Liability Insurance (RC) for Argentina.
- Expedition Start and End: In accordance with current government and customs regulations, the start and end of every expedition must take place, without exception, within Chilean territory. This requirement is indispensable to comply with the international circulation permits of our units.
- Mandatory Return to Chile: Under no circumstances is the drop-off or abandonment of the unit permitted abroad. Non-compliance with this rule not only compromises Pancho Patagon’s logistics but also makes the client fully liable for all repatriation costs, as well as any resulting customs sanctions and fines. This is an essential commitment to guarantee the legal viability of our international routes.
3. Mileage and Fuel
- Mileage: A limit of 200 km per day is included. Any excess mileage will incur an additional charge detailed in your contract.
- Diesel in Argentina: The use of Premium Diesel is mandatory. You are required to keep all fueling receipts to validate proper engine care in the event of any mechanical issue.
4. Insurance and Roadside Support
To ensure your only concern is the landscape, we have designed a protection scheme that combines legal compliance with direct, efficient logistical management on the ground.
- Civil Liability (RC): The rental includes the mandatory RC coverage required to travel in Chile and Argentina, protecting against third-party damages in accordance with the legal requirements of both countries.
- Vehicle Protection (CDW, Our Vision): More than a traditional policy, the CDW at Pancho Patagon is a Shared Risk Assumption. This protection carries an additional cost that is customized based on the duration, itinerary, and nature of each expedition.
“In the territories of Patagonia, a policy issued by a call center thousands of kilometers away does not offer the same effectiveness as direct local management. In the event of an unexpected incident in isolated zones, what the traveler needs is not a call center, but an immediate professional response and on-the-ground logistics. That is our guarantee.”
- Roadside Assistance and Support: We have a support network designed specifically for extreme zones. In the event of any technical issue that prevents vehicle operation, we will coordinate the necessary resources to assist you, always prioritizing your safety and the continuity of your journey.
- Driving Commitment (SVA): Our protections cover accidental damage on designated, public roads. However, in Single Vehicle Accidents (SVA) where no third parties are involved—such as rollovers or running off the road—the driver’s control factor is decisive. For these cases, we apply a differentiated deductible that will be agreed upon in advance based on the risk profile of your itinerary, fostering a mutual commitment to maximum attentiveness on the most isolated routes.
5. Responsible Navigation (Expedition Culture)
Exploring Patagonia is a sublime experience, but it requires understanding that nature here dictates its own rules. You will encounter a territory of contrasts: from majestic scenic routes to extensive stretches of gravel and washboard (“calamina”) roads that challenge your patience; unexpected potholes that emerge after winter, and wind gusts that occasionally invite you to halt and contemplate the landscape from a safe shelter. Wildlife rules the environment, and the weather can change in minutes.
This expedition is not just a trip; it is an exercise in driving mastery and conscious attitude. Driving in the south requires skill, but above all, respect for the environment to guarantee your safety and the integrity of your unit. Therefore, we establish the following navigation criteria:
- Speed and Washboard Roads (“Calamina”): The driver must adjust their speed to road conditions. On gravel and washboard surfaces, it is vital to reduce speed to protect the suspension, maintain control, and ensure the camper’s stability.
- Wind and Weather: Patagonian gusts pose a real structural risk. It is the traveler’s responsibility to monitor weather conditions and secure the unit, taking extreme precautions especially when opening doors and windows to avoid damage caused by wind pressure.
- Wildlife: The presence of animals on the road is constant. Attentive driving and a moderate speed are the only guarantees against unexpected wildlife crossings.
- Use of 4WD (Four-Wheel Drive): This tool must be used exclusively on low-traction surfaces (gravel, sand, or loose dirt roads) to improve traction and safety. It is strictly forbidden to engage four-wheel drive on high-traction surfaces (pavement, asphalt, or tightly compacted dirt roads), as the lack of wheel slippage creates severe drivetrain binding that damages the vehicle’s transmission.
- Prohibited Areas: It is strictly forbidden to drive into high-complexity terrains such as soft sand, deep mud, or riverbeds. In general, the vehicle must not travel outside of routes that are officially recognized and maintained as roads.
- Height Restrictions: Your expedition unit has a significant height that demands constant attention. Entering structures with limited overhead clearance (underground parking structures, low gas station roofs, etc.) is strictly forbidden. During the technical induction, we will jointly validate the maximum clearance height of your specific configuration for that journey. It is the driver’s absolute responsibility to visually verify toll booths, branches, cables, or archways before proceeding; overhead impact damages to the camper are structural, highly expensive, and are completely excluded from standard protections.
- Underbody and Chassis Protection: Our units are built for demanding terrain, but they are not invulnerable. It is the traveler’s responsibility to drive with caution to avoid impacts to the chassis and vital underbody components (differentials, oil pan, and exhaust systems). Damage caused by careless driving in rocky areas, deep potholes, or by traveling at excessive speeds on deteriorated routes is considered outside the expected use of the equipment. Caring for the integrity of the chassis and lower mechanics is essential to ensure the vehicle responds reliably throughout your entire journey.
6. Scope of Protections and Financial Commitment
At Pancho Patagon, we believe clarity is the foundation of trust. To ensure your only concern is the scenery, we define the scope of our protection scheme based on the nature of each event and adherence to shared navigation standards:
- Coverage for Unforeseen Events (Covered by CDW): We understand that there are factors on the road beyond your control. Therefore, incidents involving third parties, accidental wildlife impacts, or damage from flying stones on glass and paint are covered under the standard protection scheme, applying only the agreed-upon deductible.
- Shared Risk in Single Vehicle Accidents (SVA): In events where driver control is the determining factor—such as rollovers or running off the road without third-party involvement—we apply a differentiated deductible. This amount, discussed in advance according to your itinerary, reflects our mutual commitment to maximum alertness on the most isolated routes.
-
Direct Liability of the Traveler (Exclusions): Certain situations depend exclusively on the traveler’s prudence and responsibility. Due to their avoidable nature or because they constitute misuse, they fall completely outside standard protections. In these cases, the traveler assumes 100% of the associated repair and logistics costs:
- Overhead/Height Integrity: Structural damage to the upper part of the camper caused by impacts against any type of elevated structure or obstacle, such as toll booths, tree branches, low gas station roofs, underpasses, among others.
- Weather Care: Deformation or damage to doors or windows caused by wind gusts or meteorological conditions where the unit’s access points were not properly secured.
- Technical and Territorial Misuse: Damage resulting from the use of 4WD on high-traction surfaces, entering highly complex terrain (such as sand, mud, riverbeds, or deep snow), or driving off legally designated roads.
- Chassis and Mechanical Protection: Damage to underbody components (differentials, oil pan, exhaust) caused by driving at excessive speeds or without due caution on deteriorated roads, deep potholes, or rocky areas.
- Camper Habitability: Any damage to the interior of the camper and its living components.
- Cab Integrity: Any damage to the interior of the driving cab and its components.
- Fire Management: Any damage or fire incident in the unit resulting from leaving an active flame or fire unattended inside the vehicle’s living area.
Note: Damage shall be considered any deterioration or alteration that worsens the condition of the unit compared to the moment of its delivery.
7. Maintenance Commitment and Technical Care
As part of the expedition experience, the traveler assumes an active role in caring for the unit. Given the demanding nature of the Patagonian terrain, routine preventive monitoring is essential to ensure a trouble-free journey:
- Routine Check: The client must perform periodic inspections of basic fluid levels (engine oil and coolant) and maintain appropriate tire pressure according to the driving surface.
- Specific Expedition Systems: It is the driver’s responsibility to verify the air suspension pressure daily to ensure the stability of the rig, as well as to inspect the camper’s attachments to confirm they remain tight and secure after traveling through high-vibration or washboard road zones.
- Mechanical Alerts: In the event of any warning light on the dashboard or unusual vehicle behavior, it is mandatory to stop driving immediately in a safe location and contact Pancho Patagon. Continuing to drive while ignoring these alerts or under deficient technical conditions completely voids all assistance protections.
8. Technical Induction and Vehicle Delivery
To ensure your experience is as comfortable as it is safe, we will conduct a personalized, comprehensive technical induction (3 to 4 hours) before you set off. This time is essential for you to gain complete mastery over your unit’s systems and operate every component autonomously in remote routes.
- Optimizing Your Expedition: To maximize your time on the road, we strongly suggest scheduling this technical induction 1 or 2 days prior to your official departure date. This allows you to familiarize yourself with the vehicle without rushing and resolve any pending questions with peace of mind. Best of all, you will be able to start your adventure early on day one, with the unit fully ready and the confidence needed to enjoy the route from the very first kilometer.
- Comprehensive Training: We will conduct a deep review of the operation and control of all critical systems: energy management (batteries and solar panels), water supply, adjusting the air suspension, operating the heater, and kitchen systems.
- Emergency and Tire Management: On vast Patagonian routes, flat tires are common occurrences. While our insurance includes assistance, help can take several hours to arrive in such vast territories. Therefore, it is vital that during the induction you learn and understand the basic tire change and repair procedure, allowing you to bypass emergencies opportunely and keep your expedition moving.
- Support and Assistance Protocols: During the induction, we will provide you with a clear guide outlining the steps to follow in the event of any mechanical breakdown or roadside incident. We will discuss how to manage these situations efficiently, ensuring you know exactly whom to contact and how to document the event so we can provide immediate, seamless logistical and insurance support.
- Driving Mastery: We will share specific rules and the best driving tips for Chilean territory, preparing your skills for the unique challenges of the southern austral highways.
- Joint Verification: We will conclude with a detailed inspection of the vehicle using our official Check-list. This mutual inspection ensures you receive the unit in optimal condition and fully understand every component of your expedition gear.
- Safety Validation and Departure: As a final step before starting the adventure, we will perform a joint check of all critical systems. This personal verification of brakes, lights, steering, and safety equipment allows you to confirm that the unit is in perfect operational order. Upon driving away, the traveler validates that they have inspected these elements and feels fully confident in the equipment Pancho Patagon has prepared for their journey.
- Return and Vehicle Reception: On the day of return, we will close the trust cycle by performing a final inspection based on the same official Check-list. This mutual process aims to confirm that the vehicle and its systems return in the expected condition, with the natural exception of normal wear and tear from a grand journey. If specific damages or missing equipment are detected, resolution or replacement will be evaluated in accordance with the coverage and warranty terms established in the contract.
9. Cancellation Policy and Flexibility
We understand that large-scale travel plans can be affected by unforeseen events. Our policy seeks to balance booking commitment with the flexibility our travelers need.
- Scale of Penalties: Due to the advanced logistical preparation required for our units, cancellations are subject to a fee schedule based on how far in advance notice is given. The technical details of these timeframes and amounts are transparently stipulated in the final contract.
- Force Majeure: In exceptional, duly proven circumstances, Pancho Patagon prioritizes keeping the traveler’s dream alive. In these cases, we offer solutions such as credit vouchers with extended validity, allowing you to reschedule your adventure to a new date without losing your investment.
- Early Termination: Should the traveler decide to conclude their expedition ahead of the agreed date, no refunds will be made for unused days, as the unit’s calendar was blocked exclusively for their journey.
10. Adaptability and Calendar Commitment
We know that in Patagonia, time flows at a different pace, and sometimes the road invites you to stay a little longer. At Pancho Patagon, we love fostering that freedom, while always protecting the harmony of our traveler community.
- On-the-Road Extensions: If during your journey you feel the need to prolong your adventure, simply contact us with as much advance notice as possible. We will do everything in our power to adapt the calendar and accommodate your new date, subject to fleet availability and current rates. Coordinating this in time ensures your extension does not interfere with the dreams of another traveler waiting for their turn to depart.
- Return Coordination: To guarantee that each unit receives rigorous technical maintenance before its next expedition, punctual return is fundamental. In the event of uncoordinated delays that impact our turnaround logistics or commitments to third parties, the rescheduling fees stipulated in the final contract will apply.
11. Availability Commitment and Back-Up
At Pancho Patagon, we operate an exclusive fleet of unique units, prepared with rigorous technical precision and personal dedication to every detail. Therefore, the availability of the specific unit chosen is our absolute priority. However, faced with unexpected force majeure situations (such as severe mechanical failures or prior incidents that prevent delivering the unit in optimal condition), we will act under the following principles of support:
- Premium Substitution: If logistics permit, we will offer a unit of similar or superior technical characteristics so your expedition is not interrupted.
- Calendar Flexibility: If the traveler prefers, we will offer the option to reschedule the adventure for a new date with total booking priority.
- Refund Guarantee: In the exceptional case that we cannot provide a satisfactory alternative due to the unique nature of our units, Pancho Patagon guarantees a full refund of all amounts paid.
“Our promise is that, in the face of the unexpected, you will always receive a transparent and fair response to protect your time and your trust in us.”
12. Vital Commitment: Landscape Preservation and Fire Management
Patagonia is an ecosystem of breathtaking beauty, but its extreme fragility demands our maximum attention. In this territory, the wind acts as a natural accelerant, making the management of any heat source not just a rule, but an act of deep respect toward the land that welcomes us.
- Conscious Use of Fire: In alignment with the standards of the National Parks of Chile and Argentina, the use of open flames or campfires is strictly restricted to designated and clearly signed areas. In high-wind areas, the recommendation is to completely avoid any outdoor ignition, as environmental safety overrides all other considerations.
- Smoking Restrictions: It is important to note that smoking is strictly prohibited on trails and protected zones within National Parks. In authorized areas, extreme care is required when handling and disposing of cigarette butts, ensuring their total extinction in appropriate containers to prevent any risk of accidental ignition.
- Technical Supervision: The kitchen and heating systems of your unit are safe and highly efficient. We ask that you maintain active supervision at all times during their use, ensuring complete shutdown and proper ventilation, integrating this care into your daily navigation routine.
- Legal Framework and Liability: The traveler must be aware that environmental regulations in Chile (CONAF) and Argentina are severe regarding any incident stemming from the negligent use of fire. Upon undertaking this journey, the traveler assumes full responsibility for complying with these regulations, understanding that their prudence is the essential guarantee for protecting natural heritage and the integrity of their expedition.
Contractual Clarity
These agreements form the basis of our mutual commitment. Final legal and operational details will be ratified in your unit’s Rental Contract, which acts as the official, definitive document of your journey.
